Air EMS is currently accepting applications for a full-time Flight Coordinators / Communication Specialists.

The Flight Coordinator/Communication Specialist receives and coordinates incoming requests for various services including air ambulance, CASEVAC/personnel recovery and aircraft charter.

Communication Specialists will have detailed time management skills, excellent public relations skills, and the ability to adapt their approach with each changing request and emergent condition.

This includes, but is not limited to:

  • Exercising good judgment under pressure while ensuring effective communications are maintained between all aircraft, pilots, medical crew members and customers in an accurate, professional and efficient manner. Facilitating transport requests and prioritizing emergency and non-emergency telephone calls in a fast‐paced, stressful environment.

  • Facilitating necessary communications, in cooperation with other agencies, including ground ambulances, airport operators, law enforcement, fire departments, rescue groups, and between hospitals and aircraft, in accordance with applicable state and federal regulations.

  • Flight following of aircraft per FAA and/or vendor requirements to ensure safety of patients and staff.

  • Managing emergency communications when necessary. Initiating and coordinating the Emergency Response Plan (ERP), Emergency Operations Plan (EOP) and other emergency procedures as needed. Recognize and take action to prevent or correct potentially unsafe actions.

  • Maintaining written and computerized records. Accurately document detailed information, transport activity, medical crew/physician information, and/or agency information that may become part of a legal record.

  • Performing general office support assignments including preparation of reports and logs.

  • Participating in mandatory training, competency exercises, drills, and staff meetings. Participation in Safety and QM Committee, as applicable.

  • Engaging in activities to enhance professional growth and development through continuing education and involvement in professional organizations.

MINIMUM SKILLS/QUALIFICATIONS: Communication Specialists must have the ability to function calmly in high pressure situations, think clearly and logically, and make problem-solving decisions based on information given.

  • Excellent verbal/written communication and interpersonal skills including diplomatic and friendly manner and use of professional vocabulary

  • Respond appropriately to incoming information relayed through a variety of communication mediums (telephone, cell phone, radio, email, text, etc.).

  • Ability to deal with sensitive information in a discreet and professional manner

  • Computer literacy including good typing skills

  • General knowledge of maps skills and navigation terminology

  • Obtaining one of the following certifications within 18 months of hire is highly encouraged: Emergency Medical Dispatcher (EMD), Certified Flight Communicator (CFC) certified or Advanced Communicator Course (ACC) certified.

PREFERRED QUALIFICATIONS:

  • EMS, medical office or tech experience

  • Previous experience in EMS, Fire, Police, Air Medical Communications or other high volume call center

  • Knowledge of FAA Part 135 requirements

  • Knowledge of FCC rules and regulations for communication systems

  • Associate's degree in Healthcare Administration, Computer Science, Business Administration, or Communications.
