What You'll Do:

  • Assist in creating an organized, efficient, and welcoming workplace .
  • Greeting clients and visitors with professionalism while creating a positive first impression.
  • Managing incoming calls, directing inquiries, and ensuring messages reach the appropriate team members.
  • Coordinating conference rooms, meetings, technology, and catering for client and internal events.
  • Processing and distributing client documents, including electronically filing and delivering tax returns.
  • Handling incoming and outgoing mail, email correspondence, and secure client portal communications.
  • Keeping the office running smoothly by managing supplies, organizing files, stocking shared spaces, and maintaining common areas.
  • Operating office equipment and coordinating maintenance when repairs are needed.
  • Assisting with expense reports and a variety of administrative projects.
  • Entering and maintaining client information within internal systems with accuracy and attention to detail.
  • Preparing daily cash deposits and supporting routine administrative accounting functions.
  • Jumping in wherever needed to support the team and help meet deadlines.


You'll be a great fit if you have:

  • A high school diploma or equivalent (an associate's or bachelor's degree is a plus).
  • Three or more years of administrative experience, ideally within a professional services environment.
  • Strong Microsoft Office skills, including Outlook, Word, Excel, and PowerPoint.
  • Excellent communication skills, both written and verbal.
  • Outstanding organizational and time-management abilities.
  • The ability to manage multiple priorities while maintaining accuracy and professionalism.
  • Confidence working independently and collaborating with colleagues at every level of the organization.
  • Experience using multi-line phone systems and standard office technology.
  • The ability to occasionally stand, bend, or lift office materials as needed.
