Buffalo, NY, US Full Time

Job Description

Job Description

Agency Traffic Manager

Reports to: Operations Team size: 5–15 (staff + regular freelancers) Type: Full-time

The Role

We're looking for a Agency Traffic Manager to be the connective tissue between our creative team, our production partners, and our timelines. Right now, a lot of "who's available, where does this stand, who can take this on" lives in the Creative Director's head — we need someone whose full-time job is to own that, so the creative leadership can focus on the work itself.

This is a hands-on role. You'll be staffing projects and tracking timelines and actually running production — booking crews, managing vendors, keeping shoots and print jobs and digital builds on schedule and on budget. You're equally comfortable in a spreadsheet, on a call with a printer, and on set solving a problem before it becomes a delay.

What You'll Own

Resourcing & Scheduling

  • Maintain a real-time view of who's working on what, and who has capacity — across staff and freelancers
  • Staff new projects quickly, flagging conflicts before they become fires
  • Source, negotiate rates with, and manage freelance talent as needed
  • Keep Teamwork (and other project tools) accurate and actually useful, not just a formality

Project & Timeline Management

  • Own timelines from kickoff to delivery across concurrent projects
  • Run status check-ins and keep stakeholders (internal and client-facing) informed without needing to be chased
  • Anticipate bottlenecks — budget, approvals, availability — and solve for them early, using tools like PageProof to keep review/approval cycles moving

Production

  • Video/Photo: book crews, manage shoot logistics, coordinate post-production timelines and deliverables
  • Print/Physical: manage vendor relationships, specs, proofing, and production schedules end to end
  • Digital: coordinate handoffs between creative and dev/motion teams, track builds through to launch

What You Bring

  • 3–6+ years in a creative producer, project manager, or traffic manager role — agency or in-house, creative/marketing environment preferred
  • Real experience running production logistics in at least two of: video/photo, print, digital (we'll train up the third)
  • Comfort negotiating with vendors and freelancers — rates, timelines, contracts
  • A proactive style: you flag problems before they're emergencies, not after
  • Fluency with project management tools (Teamwork or similar); approval tools (PageProof or similar) a plus
  • Calm under pressure when five things are due at once — because they will be

Nice to Have

  • Experience scaling a production process for a growing team
  • Existing network of freelance talent and production vendors

Compensation

$68,000–$85,000, depending on experience.

Benefits & Perks

  • Health, dental, and vision insurance — we cover 80% of your premium
  • 401(k) with company match
  • Hybrid schedule — in office Tuesday–Thursday, work from wherever the other two days
  • Paid company-wide break between Christmas and New Year's Day — no burning PTO to actually disconnect
  • On-site gym and sauna
  • Fully stocked kitchen and bathrooms — snacks and personal hygiene products always on hand, no last-minute drugstore runs
  • An active Fun Committee running regular team events — this isn't a once-a-year holiday party culture

Success Looks Like

  • Every project has a named owner and a staffed team within 48 hours of kickoff
  • Freelance/vendor needs are flagged with real lead time, not last-minute
  • The Creative Director is pulled into staffing/scheduling decisions only when it truly needs their input — not by default
