Job Description

We are looking for an Enrollment Specialist to support individuals and families as they move through the enrollment process to become a beneficiary at a non-profit. This role is ideal for someone who combines strong administrative ability with compassionate communication and can help explain complex planning options in a clear, approachable way. The successful candidate will coordinate documentation, respond to inquiries, and help ensure each new account is opened accurately and efficiently within a mission-driven nonprofit environment.

Responsibilities:

• Serve as a primary point of contact for individuals, family members, and community professionals, providing responsive and respectful support throughout the enrollment journey.

• Build a strong working knowledge of pooled and standalone special needs trusts, along with related future-planning resources for people with disabilities and their families.

• Translate trust-related information into simple, easy-to-understand guidance so prospective beneficiaries and their support networks can make informed decisions.

• Oversee the full intake and onboarding process for new beneficiaries by gathering required paperwork, tracking outstanding items, and keeping enrollment steps on schedule.

• Partner with leadership as needed to review new referrals, address onboarding obstacles, and help coordinate assignment of accounts to the appropriate service coordinator.

• Monitor inbound calls, emails, and other requests to identify common questions, referral patterns, and emerging service needs, then communicate those trends to the team.

• Maintain accurate records for new beneficiary accounts, including service coordinator assignment details, investment selection information, welcome materials, and related documentation.

• Support smooth communication across departments to ensure new account information is shared accurately and follow-up actions are completed in a timely manner.

• At least 3 years of customer service or enrollment experience within a nonprofit, healthcare, or human services setting.

• Strong proficiency with Microsoft Office applications, including Outlook and Excel.

• Demonstrated ability to manage inbound & outbound communications, data entry, document tracking, and customer account support with accuracy.

• Excellent verbal and written communication skills, with the ability to work collaboratively across teams and with external stakeholders.

• Strong organizational, time management, and follow-through skills, along with close attention to detail.

• Experience supporting individuals with disabilities is preferred.

• Bilingual verbal and written communication skills are a plus.
