Position Summary
The Service Billing Specialist is a vital member of our Accounting team, responsible for completing administrative and billing functions that are critical to the daily success of our business. This position works closely with the Accounting, Service, and Project Management departments to ensure billing processes are completed accurately, efficiently, and on time.
The ideal candidate is highly organized, detail-oriented, customer-focused, and enjoys working in a collaborative team environment.
Primary Responsibilities
- Process COD and credit card payments for service work orders.
- Prepare and process daily bank deposits.
- Generate and process invoices for the Service Department.
- Print and mail customer service invoices.
- Prepare, print, and mail heating and air conditioning maintenance reminder letters.
- Monitor Accounts Receivable aging reports and make initial collection calls to customers with past-due balances.
- Archive and maintain records for completed jobs and project drawings.
- Coordinate with the Accounts Receivable Manager regarding add-on billings and related processes.
- Provide administrative support for special projects and assist other departments as needed.
Qualifications
- Associate's Degree, equivalent education, or military experience preferred.
- Previous experience in an administrative or accounting support role is a plus.
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
- Excellent attention to detail and accuracy.
- Strong communication and customer service skills.
- Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel.
- Ability to work independently while contributing to a collaborative team environment.
