Job Title: Administrative Analyst

Location: South Houston

Pay: $30-$36

Benefits: Medical

Hours: 8:00-5:00 in office

Type: 3-month contract with the possibility to extend

Key Responsibilities

  • Review purchase orders, inventory records, shipping documentation, and receiving reports to verify order accuracy.
  • Assess what inventory was ordered, what was received, and what items are missing, delayed, damaged, or substituted.
  • Investigate discrepancies between purchase orders, contracts, invoices, and final inventory delivered.
  • Perform root cause analysis to determine why discrepancies occurred and identify corrective actions.
  • Reconcile inventory records and ensure data accuracy across systems and spreadsheets.
  • Review AI-generated inventory classifications and manually validate item descriptions, categories, and coding accuracy.
  • Compare final inventory outcomes against contractual requirements, project specifications, and client expectations.
  • Communicate with vendors, clients, project managers, and internal teams to obtain missing information and resolve issues.
  • Track and document discrepancies, resolutions, and trends for reporting purposes.
  • Recommend process improvements to reduce errors, improve inventory accuracy, and enhance operational efficiency.
  • Review purchase order numbers and supporting documentation to ensure proper tracking and accountability.
  • Maintain detailed records of investigations, findings, and corrective actions.

Qualifications

  • Strong analytical and problem-solving abilities.
  • Exceptional attention to detail and organizational skills.
  • Experience with inventory management, purchasing, logistics, accounting support, or order reconciliation preferred.
  • Proficiency with spreadsheets and data analysis tools.
  • Ability to investigate issues, identify root causes, and recommend solutions.
  • Strong written and verbal communication skills.
  • Comfortable working with AI-assisted data and validating system-generated information.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
