Job Description
ACCESS SERVICES SPECIALIST - Full Time, 40 hrs/wk. This position is eligible for applicable evening and night shift differentials.
The Access Services Specialist is responsible for engaging prospective patients and families by providing information about Wellbridge programs, providing ongoing outreach to referral sources for families and patients considering admission, and providing flexible coverage across the call center and Reception based on daily operational needs.
RESPONSIBILITIES INCLUDE:
- Maintain efficient workflows during staffing gaps, high-volume periods, or scheduled time off ensuring the continuity of access services
- Serve as front-facing support by greeting patients, visitors, and vendors in a professional and welcoming manner when covering reception
- Assist with inbound call handling, call routing, and general call center support during high-volume periods or staffing shortages
- Support timely communication and coordination between departments to ensure smooth patient access operations
- Maintain accurate documentation and follow established workflows and protocols
- Adapt quickly to changing priorities and staffing needs throughout the day
- Uphold confidentiality, professionalism, and compliance with organizational and HIPAA standards
- Assist leadership with additional access-related support tasks as needed

ESSENTIAL FUNCTIONS:
Provide patient admission related and reception related tasks. For patient care needs, this is an on-site role. Clearly communicate and exchange information verbally and electronically. Consistent computer and phone, general office equipment use. Generally sedentary, traversing office and facility areas. The ability to work a flexible schedule based on the needs of the program
QUALIFICATIONS:
- Associate degree with 1 – 2 years of experience working in a call center or behavioral health setting. Bachelor's degree in a human service-related field is preferred.
- Ability to establish and maintain cooperative professional relationships.
- Strong interpersonal skills to facilitate conversations with patients, staff, nurses, physicians, etc.
- Proficiency in Microsoft Office Suite (Teams, Excel, etc.).
- Knowledge of a Customer Relationship Management System (CRM) and Electronic Medical Record (EMR).
