Position Summary

The Maintenance Planner is responsible for writing, implementing, and managing the preventive maintenance (PM) system for all manufacturing equipment and support systems at Barchemy. This role builds PM procedures from OEM manuals, drawings, and equipment history; loads and maintains them in CMMS (Dynaway); schedules and coordinates planned work with production; manages the documentation, and follow-up that keeps the program running. The Maintenance Planner is the owner of maintenance planning and scheduling — converting reactive work into planned, kitted, and scheduled work that maximizes equipment reliability and technician wrench time.


Essential Duties & Responsibilities

PM Program Development

• Write detailed, task-level PM procedures for all manufacturing equipment (processing, milling, mixing, depositing, and packaging lines) and support systems (compressed air, HVAC, chilled/hot water, hydraulic power units, dust collection, building systems)

• Develop PM content from OEM manuals, assembly drawings, spare parts lists, schematics, equipment history, and technician input; define task steps, frequencies, estimated labor hours, required parts, tools, and safety/LOTO requirements

• Establish and maintain the equipment hierarchy, asset numbering, and document control structure for all PM documentation, keeping procedures current through revision control

• Continuously improve PM tasks and frequencies based on failure history, technician feedback, and inspection findings

CMMS Administration

• Build, load, and maintain assets, PM schedules, task lists, and bills of materials in the CMMS (Dynaway) serve as the site CMMS administrator and subject-matter expert

• Generate, distribute, and track PM and corrective work orders; ensure completed work orders are closed out with accurate labor, parts, and failure data

• Develop and publish maintenance KPIs from CMMS data (PM completion rate, schedule compliance, backlog, downtime, MTBF/MTTR) and report trends to leadership

Planning & Scheduling

• Plan corrective and project work: define scope, job steps, labor estimates, parts, special tools, permits, and contractor needs before work is scheduled

• Build and publish the weekly maintenance schedule in coordination with production planning to minimize impact on manufacturing

• Co-ordinate with the Parts Coordinator to kit parts and stage materials for planned jobs; coordinate equipment access, downtime windows, and shutdown/holiday maintenance work

• Maintain and prioritize the work order backlog, balancing PM compliance, corrective work, and improvement projects

Parts & Vendor Coordination

• Co-ordinate with the Parts Coordinator to Identify critical spare parts from OEM documentation and equipment BOMs; establish min/max stock levels and set up storeroom organization for PM and repair parts

General

• Support root cause analysis on repeat failures and incorporate corrective actions into PM content

• Ensure all PM procedures and planned work comply with LOTO, NFPA 70E, confined space, and other applicable safety programs, as well as GMP and food safety requirements

• Assist with onboarding and training technicians on PM procedures, work order practices, and CMMS use

Requirements:

Required Qualifications

• High school diploma or GED; technical degree or certificate in a maintenance, engineering, or industrial technology field preferred

• 3+ years of experience in industrial maintenance, maintenance planning, or reliability roles in a manufacturing environment

• Hands-on experience with CMMS systems (e.g., Dynaway, MaintainX, Fiix, eMaint, UpKeep, SAP PM, Maximo, Limble) — building assets and PMs, managing work orders, and reporting

• Proficiency in Microsoft Office, particularly Excel (formatting, formulas, and maintaining structured workbooks), Word, and Outlook

• Ability to read and interpret OEM manuals, mechanical assembly drawings, P&IDs, and electrical schematics well enough to write accurate task-level procedures

• Strong mechanical/electrical aptitude and understanding of common industrial equipment: motors, drives, gearboxes, pumps, bearings, pneumatics, hydraulics, and control systems

• Excellent organizational and written communication skills; able to produce clear, consistent, professional maintenance documentation

• Ability to work cross-functionally with production, quality, purchasing, and outside vendors


Preferred Qualifications

• Experience building a PM program from the ground up (greenfield or program overhaul)

• Experience in food, beverage, chemical, or process manufacturing and familiarity with GMP/washdown environments

• Planner/scheduler or reliability certification (e.g., CMRP, CPMM, SMRP-aligned training)

• Prior hands-on maintenance technician experience (mechanical or electrical)

• Experience with document control systems and revision management

• Familiarity with process equipment such as immersion mills, ball mills, mixers, and depositing systems


Physical Requirements & Working Conditions

• Office and production floor environment; frequent walking of the plant to scope jobs, verify equipment, and audit PM work

• Ability to lift up to 40 lbs occasionally; climb ladders and access equipment areas to gather planning information

• Exposure to variable temperatures, noise, and washdown conditions on the production floor

• Required PPE includes safety glasses, hearing protection, steel/composite-toe footwear, and hairnet/beard net per GMP policy
