Job Description
We are looking for a highly organized Executive Assistant with relevant experience to support daily front-office operations and provide high-level administrative assistance in Orland Park, Illinois. This contract-to-permanent opportunity is ideal for someone who enjoys balancing reception duties with executive support in a busy, detail-oriented setting. The right candidate brings strong judgment, excellent communication skills, and the ability to manage multiple priorities while creating a welcoming experience for clients and visitors.
Responsibilities:
• Welcome guests, clients, and business partners at the front desk and ensure a positive first impression for everyone entering the office.
• Oversee the executive’s schedule by arranging meetings, confirming appointments, and helping keep daily priorities on track.
• Respond to incoming calls, emails, and other communications in a timely manner, directing inquiries to the appropriate parties when needed.
• Maintain ongoing communication with clients and stakeholders by following up on requests and helping ensure expectations are clearly managed.
• Prepare letters, reports, presentations, and other business materials with accuracy, care, and attention to detail.
• Organize and maintain both digital and physical records so important documents remain current, accessible, and secure.
• Coordinate meeting logistics, including calendar invites, agenda support, room readiness, and related administrative preparation.
• Provide day-to-day administrative assistance to office leadership, contribute to special projects, and handle sensitive information with discretion.
The salary range for this position is $22.80/hr. to $24.00/hr. Benefits available to contract/temporary professionals, include medical, vision, dental, and life and disability insurance. • High school diploma required; an associate’s or bachelor’s degree is preferred.• At least 3 years of experience in a receptionist, executive assistant, or administrative support capacity is preferred.
• Strong written and verbal communication skills with a detail-focused and service-oriented approach.
• Demonstrated ability to stay organized, manage time effectively, and maintain close attention to detail.
• Proven success handling multiple tasks, shifting priorities, and deadlines in a fast-paced office environment.
• Proficiency with Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams.
• Ability to work independently while also contributing effectively within a collaborative team setting.
• Sound judgment, discretion with confidential information, and a strong workplace presence.
