Overview:
Receptionist/Paralegal needed for Mineola law firm. Seeking a motivated, passionate, and well-versed individual to serve as a receptionist and paralegal for a full-time, in-office position.
9:00am–5:00pm Monday-Friday. (Will be working front desk as receptionist/lead intake from 9am-1pm and then paralegal duties 1pm-5pm).
Applicants must be highly organized and have the ability to multi-task. Exceptional communication skills are required. Must be proficient in Microsoft Office.
Law firm and/or paralegal experience required. Please do not apply if you have no law firm experience.
Duties include:
- Front desk/reception of main office in Mineola
- Answering phones/emails and client intake
- Billing and invoicing
- Drafting letters/correspondence
- Preparation of retainers & prebills
- Filing and upkeep of records
- Communicate with IT/phone department and vendors
- Onboarding/offboarding of employees
- Coordinating logistics for meetings and conferences
- Provide administrative support for attorneys
Requirements:
- 3-5 years of administrative experience *(At least 1-2 years of previous law firm and/or paralegal experience minimum required)*
- High school diploma or equivalent; additional qualifications in business administration or related fields are advantageous
- Must be familiar with Microsoft Word/Excel/Outlook and Adobe.
- Experience with practice management software a plus (such as PC Law, Law Pay), but not required
- Strong organizational skills and communication skills
- Attention to detail
- Ability to multi-task and problem-solve
- Provide exceptional customer service by addressing customer inquiries and resolving issues promptly Being good with people is a must
- Excellent verbal and written communication skills to effectively interact with clients and team members
- Ability to work collaboratively in a fast-paced environment while maintaining a positive attitude
- Being able to maintain consistent contact with partners, attorneys, staff, and clients while observing confidentiality of client and firm matters
