Job Description
We are seeking a detail-oriented and proactive Legal Secretary to join our dynamic legal team. In this role, you will be the backbone of our daily operations—providing essential administrative support to attorneys while ensuring that clients receive professional, timely, and compassionate service. The ideal candidate thrives in a fast-paced environment, handles confidential matters with discretion, and takes pride in keeping every case detail meticulously organized.
Key Responsibilities
Client & Visitor Support – Answer and respond promptly to phone calls, voicemails, emails, and postal mailings; direct inquiries to the appropriate attorney or staff member. Greet and assist office visitors and clients professionally, maintaining a welcoming and organized reception area.
Document Preparation – Draft, proofread, format, and prepare a wide range of legal documents, including summonses, complaints, motions, subpoenas, pleadings, briefs, and other court forms, ensuring accuracy and strict compliance with court rules and filing deadlines.
Communication & Coordination – Serve as the central liaison between attorneys, clients, court personnel, and external parties, providing timely updates and relaying critical information. Communicate clearly and regularly to keep all stakeholders informed and up to date.
Calendar & Appointment Management – Coordinate appointments, meetings, depositions, hearings, and mediations; manage all related correspondence, calendar entries, and logistical arrangements (e.g., conference calls, virtual platforms, travel, and venue booking).
File & Case Management – Maintain and update case logs, physical files, and electronic databases, ensuring all documentation is organized, current, and easily retrievable for reference and review. Track all case-related materials and correspondence with precision.
Office Operations Support – Assist in all other facets of daily office functions, including scanning, copying, filing, billing support, expense reporting, time entry, and general clerical duties to ensure smooth and efficient workflow.
Qualifications & Skills
Minimum of 2–3 years of experience as a legal secretary, legal assistant, or in a comparable administrative role within a law firm or legal department.
- Strong knowledge of legal terminology, court procedures, and e-filing systems (state and federal).
- Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) and legal software (e.g., Clio, Westlaw, or similar).
- Excellent written and verbal communication skills, with a professional and courteous demeanor.
- Superior organizational and multitasking abilities, with a proven track record of meeting tight deadlines.
- High level of discretion and integrity when handling confidential and sensitive information.
- Typing speed of 60+ WPM preferred.
- Notary public designation is a plus.
