The Collections Specialist is primarily responsible for managing accounts receivable by collecting outstanding customer balances, resolving billing issues, and maintaining positive customer relationships to support company cash flow.


Responsibilities

  • Monitor customer accounts to identify past-due balances and collection priorities.
  • Contact customers by phone, email, and written correspondence to collect outstanding accounts receivable.
  • Review aging reports and maintain assigned accounts to achieve collection goals.
  • Investigate and resolve billing disputes, payment discrepancies, and customer inquiries.
  • Collaborate with sales representatives and management to resolve account issues.
  • Maintain detailed records of collection activities and customer communications.
  • Negotiate payment arrangements with customers when appropriate and follow up to ensure compliance.
  • Facilitate weekly AR call with Sales, document notes and update in ERP.
  • Discuss with Credit Manager doubtful accounts to determine next steps, i.e. 10-day Letter, collections
  • Recommend credit holds or account escalations for delinquent customers in accordance with company policy.
  • Conduct bank reference verifications to assess customer creditworthiness and support approval decisions.
  • Set up new customer accounts including data entry, documentation and review and account maintenance
  • Prepare collection reports and provide updates on delinquent accounts to management weekly.
  • Ensure compliance with company policies and applicable collection regulations.
Requirements:

  • High school diploma (or equivalent) required
  • 2+ years of accounts receivable or commercial collections experience preferred
  • Strong understanding of accounts receivable processes and aging reports.
  • Proficiency in Microsoft Excel and accounting/ERP software.
  • Excellent communication, negotiation, and customer service skills.
  • Strong attention to detail with the ability to prioritize multiple tasks.
  • Ability to work independently and as part of a team in a fast-paced environment
  • Maintain confidentiality and professionalism when handling sensitive financial information.
