About the Opportunity
Our client is seeking a reliable, detail-oriented, and customer-focused Medical Call Center Coordinator to support daily administrative and front-desk operations. This role serves as the first point of contact for visitors, clients, and staff, playing a critical role in ensuring smooth office workflow, excellent customer service, and professional representation of the organization.
The ideal candidate is bilingual in Spanish, highly organized, and experienced in administrative or front office coordination within a fast-paced professional environment.

Key Responsibilities
  • Serve as the primary contact for patients and clinical staff
  • Greet and assist patients in a courteous and professional manner
  • Answer and route incoming calls, emails, and inquiries efficiently
  • Schedule appointments, meetings, and manage calendars
  • Maintain organized filing systems (electronic and physical)
  • Process incoming and outgoing correspondence
  • Assist with data entry, document preparation, and record management
  • Coordinate office supplies and maintain inventory levels
  • Support administrative staff and leadership with clerical tasks
  • Ensure compliance with company policies and office procedures
  • Maintain confidentiality of sensitive information
  • Assist with onboarding paperwork and general HR/administrative support as needed
  • Monitor and maintain a clean, organized, and professional reception area
Required Qualifications
  • High School Diploma or GED (Required)
  • Bilingual in English and Spanish (Required)
  • Minimum of 2 years of experience in front office coordination, administrative support, or related roles
  • Strong verbal and written communication skills
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and office software
  • Ability to multitask and prioritize in a fast-paced environment
  • Excellent organizational and time-management skills
  • Professional appearance and customer-service mindset
  • Reliable attendance and punctuality
Preferred Qualifications
  • Completion of a formal Medical Assistant program with credential available to be provided upon interview (CMA, CCMA Etc)
  • 2 years experience in clinical setting
  • Experience in healthcare, staffing, legal, or corporate office environments
  • Familiarity with scheduling systems, CRM platforms, or HRIS systems
  • Prior experience handling confidential records and documentation
  • Knowledge of basic bookkeeping or invoicing processes
  • Experience supporting multi-department operations
  • Bilingual proficiency in additional languages beyond Spanish
  • Experience with document scanning, archiving, and digital filing systems
