Job Title: Legal Administrative Assistant

Location: Houston, TX

Pay: $27 - $30 / Hour

Benefits: This position is eligible for medical, dental, vision, and 401(k).

Position Summary:

The Legal Administrative Assistant provides administrative and organizational support to the legal team, helping ensure the efficient day-to-day operation of the department. This role requires strong attention to detail, discretion, organization, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities:

  • Provide day-to-day administrative support to the legal team, including correspondence, document preparation, filing, scanning, copying, and maintaining records.
  • Manage legal calendars, including scheduling meetings, appointments, deadlines, court dates, and other important legal events.
  • Coordinate and maintain communication with vendors and outside service providers; monitor invoices and assist with resolving issues as needed.
  • Prepare, organize, and maintain legal documents, files, and confidential records.
  • Assist attorneys and legal staff with administrative tasks, projects, and special assignments.
  • Coordinate meetings and conference calls and prepare materials as needed.
  • Track deadlines and follow up on outstanding items to ensure timely completion.
  • Assist with expense reports, invoices, and other departmental administrative processes.
  • Maintain accurate electronic and physical filing systems.
  • Handle confidential and sensitive information with professionalism and discretion.
  • Provide general administrative support to ensure the legal department operates efficiently.

Qualifications:

  • 3–5 years of experience providing administrative support in a legal environment.
  • Associate’s or Bachelor’s degree or paralegal certification preferred.
  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint, required.
  • Experience with Clio or other legal practice management software preferred.
  • Strong organizational and time-management skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities, meet deadlines, and work independently.
  • Demonstrated ability to handle confidential information with discretion and professionalism.
  • Strong interpersonal skills and the ability to work effectively with attorneys, staff, vendors, and external contacts.
