Key Personnel is seeking an experienced Legal Assistant to join a respected law firm in the Tulsa, OK area.
Legal Assistant Pay: $45,000 - $50,000/year DOE
Schedule: Monday-Friday, 8:00am-5:00pm
Legal Assistant Summary:
The Legal Assistant provides administrative and legal support to attorneys specializing in probate, estate planning, trusts, and guardianship matters. This position is responsible for preparing legal documents, managing case files, coordinating client communications, maintaining court deadlines, and ensuring all documentation is accurate and compliant. The ideal candidate is highly organized, detail-oriented, compassionate, and capable of managing multiple priorities in a fast-paced legal environment while maintaining strict confidentiality.
Legal Assistant Responsibilities:
- Prepare, proofread, and format legal documents related to probate, estates, trusts, and guardianship matters.
- Draft correspondence, pleadings, petitions, inventories, notices, and other legal documents for attorney review.
- Open, organize, and maintain electronic and physical client files.
- Coordinate probate filings and court documents while monitoring deadlines and court calendars.
- Schedule client consultations, hearings, depositions, and attorney appointments.
- Communicate professionally with clients, courts, financial institutions, medical providers, and other outside parties.
- Assist attorneys with estate administration, trust administration, guardianship proceedings, and probate case management.
- Collect, organize, and maintain confidential client and financial information.
- Prepare and submit court filings through electronic filing systems when applicable.
- Track case progress and ensure deadlines are met.
- Assist with billing, time entry, expense documentation, and administrative support as needed.
- Maintain compliance with firm policies, legal procedures, and confidentiality standards.
- Perform additional administrative and legal support duties as assigned.
Legal Assistant Qualifications:
- Minimum of 3 years of Legal Assistant experience required.
- Previous experience supporting attorneys in probate, estate planning, trusts, and guardianship matters is required.
- Strong understanding of probate court procedures, legal terminology, and estate administration.
- Experience preparing legal pleadings, correspondence, and court filings.
- Proficient in Microsoft Office Suite, including Word, Outlook, Excel, and Adobe Acrobat.
- Experience with legal case management software is preferred.
- Excellent written and verbal communication skills.
- Strong organizational, time management, and multitasking abilities.
- Ability to prioritize deadlines while maintaining exceptional attention to detail.
- Professional demeanor with the ability to handle confidential and sensitive information.
- Self-motivated with excellent problem-solving and critical-thinking skills.
Legal Assistant Preferred Skills:
- Experience with electronic court filing (e-filing).
- Knowledge of Oklahoma probate and guardianship procedures preferred.
- Experience working with legal billing and case management software.
- Notary Public certification is a plus.
Physical Requirements/Work Environment:
- Ability to work in a professional office environment.
- Ability to sit, stand, walk, and use a computer for extended periods.
- Ability to occasionally lift and carry files weighing up to 20 pounds.
- Ability to maintain confidentiality while handling sensitive legal and financial information.
