Clinic Administrative Support Specialist
Job Description
Lincoln Internal Medicine Associates is seeking an organized, dependable and self-motivated Clinic Administrative Support Specialist to provide administrative support to the Executive Director and assist with clinic compliance, onboarding, student rotations, employee education and special projects.
This role is well suited for an experienced administrative professional who enjoys managing multiple responsibilities, improving systems and helping an organization run smoothly. The successful candidate will be highly computer-savvy, detail-oriented, comfortable handling confidential information and able to work independently with limited supervision.
Essential Responsibilities- Coordinate student and clinical learner rotations, including scheduling, documentation, orientation and communication with schools, students and clinic staff.
- Assist leadership with OSHA, HIPAA and other healthcare compliance requirements.
- Maintain compliance records and administrative documentation in MedTrainer and other clinic systems.
- Assign required employee education and monitor completion deadlines.
- Maintain employee health and compliance tracking, including TB testing and other required records.
- Support employee onboarding and offboarding activities.
- Prepare onboarding materials, coordinate required training and ensure documentation is complete.
- Activate and deactivate employee access fobs and assist with other access-related processes.
- Update spreadsheets, databases, tracking systems and recurring reports.
- Assist with special projects and process-improvement initiatives.
- Provide administrative coverage and support in other areas of the clinic as needed.
- Handle sensitive employee, patient and organizational information with discretion.
- Identify overdue items, follow up appropriately and communicate concerns to leadership.
- Perform additional administrative and operational duties as assigned by the Executive Director.
- High school diploma or equivalent.
- Strong computer skills and the ability to learn new software and systems quickly.
- Proficiency with Microsoft Office programs, including Outlook, Word and Excel.
- Strong organizational skills with careful attention to detail.
- Ability to prioritize multiple assignments and meet deadlines.
- Excellent written and verbal communication skills.
- Ability to work independently, take initiative and follow projects through to completion.
- Sound judgment and the ability to maintain confidentiality.
- Associate degree or additional education in administration, healthcare, human resources or a related field.

This individual will be an effective communicator, a collaborative team player and flexible enough to support changing operational needs. They will recognize what needs attention and take appropriate action without requiring constant direction.
