Job Title: Contracts Administrator

Location: Houston, TX (Hybrid)

Type: Direct hire

Salary: $55,000 - $60,000 / Per Year

Job Description:

Contract Lifecycle Management (Ironclad)

  • Support daily operations of the Ironclad contract management system.
  • Assist with contract intake, routing, and workflow tracking.
  • Ensure contracts follow established templates and processes.
  • Troubleshoot basic system or workflow issues and escalate as needed.
  • Collaborate with internal teams (Legal, Sales, Operations) on contract requests.

Legal & Compliance Support:

  • Track compliance requirements and deadlines across multiple entities.
  • Assist with Secretary of State filings, including annual reports and registrations.
  • Maintain compliance calendars and ensure timely filings
  • Support tracking of workers’ compensation compliance across jurisdictions.

Insurance & COI Management:

  • Assist with insurance renewals, including data gathering and coordination with brokers.
  • Maintain records of policies, renewal schedules, and documentation.
  • Track and manage Certificates of Insurance (COIs), ensuring accuracy and timely distribution.

Multi-Entity Coordination:

  • Support legal and compliance activities across nine companies.
  • Help standardize and organize documentation across entities.
  • Coordinate with internal stakeholders to gather information and provide updates.

Administrative & Organizational Support:

  • Maintain organized records of contracts, filings, and compliance documents.
  • Update tracking tools (spreadsheets, logs, dashboards).
  • Assist with audits, reporting, and special projects.

Qualification Requirements (minimum and preferred requirements):

  • Must have 1-3+ years of legal assistant experience.

Education and Experience:

  • Bachelor’s degree or one to two years of related experience and/or training; or equivalent combination of education and experience.
