We are looking for an Executive Assistant to provide high-level administrative support in Green Bay, Wisconsin. This role is ideal for a highly organized individual with strong attention to detail who can manage competing priorities, handle confidential materials with discretion, and keep daily operations running smoothly. The successful candidate will support document preparation, scheduling, travel coordination, billing support, and record maintenance while contributing to an efficient and responsive team environment.
Responsibilities:
• Oversee a fast-moving flow of communications and respond to urgent administrative needs with accuracy and sound judgment.
• Manage day-to-day support activities independently, ensuring priorities are addressed efficiently and deadlines are consistently met.
• Draft, format, revise, and finalize correspondence, legal paperwork, memoranda, transcripts, and other business documents.
• Review completed materials carefully to correct errors, confirm consistency with office standards, and verify that all required attachments are included.
• Coordinate internal and external meetings, maintain executive calendars, and partner with front desk staff to secure rooms and arrange refreshments or meal service when needed.
• Process incoming and outgoing mail and keep document distribution organized and timely.
• Prepare and track expense submissions, check requests, and related administrative financial items.
• Maintain both electronic and physical filing systems, ensuring records are organized, current, and easy to retrieve.
• Support client billing by assisting with the preparation, review, and completion of invoices, and monitor workflow reporting, team metrics, and timekeeper credit activity.
• Arrange business travel and provide coverage for other executive support team members when needed.• Proven experience in an executive assistant, legal assistant, or comparable administrative support role.
• Strong ability to manage complex calendars, coordinate meetings, and organize travel arrangements with close attention to detail.
• Experience preparing detailed documents, correspondence, expense reports, and billing-related materials.
• Excellent proofreading and written communication skills, with the ability to produce accurate and high-quality work.
• Comfortable handling sensitive information with discretion and maintaining organized paper and electronic records.
• Proficiency with administrative office systems and standard business software used for scheduling, document management, and reporting.
• Ability to balance multiple deadlines, adapt to shifting priorities, and work effectively with minimal supervision.
