We are looking for an experienced Executive Administrative Assistant to support daily office operations and provide high-level administrative assistance. This Contract position is fully onsite and will run for approximately 6 to 8 weeks, offering an opportunity to contribute to a fast-paced environment. The ideal candidate will balance front desk coordination, meeting logistics, and executive support while maintaining a well-organized workplace.


Responsibilities:

• Welcome visitors, manage the front desk experience, and serve as the primary point of contact for incoming calls and office inquiries.

• Coordinate executive calendars by arranging meetings, confirming schedules, and ensuring conference spaces are prepared for internal and external guests.

• Organize boardroom usage and meeting logistics, including room setup, materials preparation, and hospitality support as needed.

• Handle travel planning for leadership, including booking itineraries and managing related scheduling details.

• Monitor and replenish office supplies to help maintain efficient day-to-day workplace operations.

• Provide administrative support to executives through document preparation, correspondence handling, and follow-up on priority tasks.

• Assist with general office coordination to ensure the onsite environment remains efficient, functional, and well organized.

• At least 3 years of experience in an executive assistant, office administration, receptionist, or similar support role.
• Strong calendar management skills with the ability to coordinate multiple meetings and shifting priorities.
• Experience arranging travel and managing detailed itineraries for business purposes.
• Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
• Excellent verbal and written communication skills with a detail-oriented front-facing presence.
• Ability to work fully onsite in Wayne, Pennsylvania during standard business hours, Monday through Friday.
• Strong organizational skills, sound judgment, and the ability to manage confidential information with discretion.
