The role


You'll sit at the center of two operations — construction and development — making sure every task has an owner, every deadline gets chased, and every closeout document actually gets closed out. You're not the person deciding what gets built or when a sub gets paid. You're the person who makes sure the people who do decide those things never lose track of a commitment, a permit, or a follow-up.


If you're the kind of person who feels physically uncomfortable seeing an open task with no owner, and you enjoy the specific satisfaction of turning a messy list of loose ends into a clean, closed-out tracker — this is built for you.


What your week actually looks like

  • Run the master tracker across every active project and property — who owns what, what's due when, what's at risk
  • Prep the agenda for the Development Manager's weekly cross-functional meeting, capture decisions and action items, then push those actions out to owners with due dates the same day
  • Chase permits, inspections, insurance certificates, and lien waivers to actual completion — not just "reported done"
  • Keep contracts, drawings, permits, and correspondence organized and current across active jobs
  • Maintain a weekly status report and live dashboard so the President, Development Manager, and Construction Manager always know what's open, closed, overdue, or stuck
  • Flag anything blocked or at risk before it becomes a bigger problem — and escalate to the right person fast


What you'll need

  • 3+ years in project coordination, project administration, or operations support — construction, real estate development, or a similar build environment preferred
  • A track record of juggling a lot of concurrent workstreams without dropping details
  • The confidence to professionally chase busy senior people until things actually get done
  • Real fluency with project-management tools, shared document systems, and spreadsheets
  • Sharp, disciplined organizational habits — this role lives and dies on that
  • Clear, direct written and verbal communication


Nice to have: experience with construction documentation (permits, inspections, submittals, RFIs, change orders, lien waivers, closeout), and hands-on time administering a PM platform (Procore, Buildertrend, Asana, Monday, or similar).


How this role works

You report to the Development Manager and support both the Development Manager and Construction Manager — tracking, documenting, and following up across construction, design, procurement, sales, marketing, and property management. You keep everyone accountable to their own commitments and surface what's at risk.
