Medical Receptionist
Position Summary
Virginia Hearing Consultants is seeking a friendly, organized, and detail-oriented Medical Receptionist to serve as the first impression of our practice. This individual plays an essential role in creating an exceptional patient experience by welcoming patients, managing front office operations, providing administrative support, and assisting with basic hearing aid services.
The ideal candidate enjoys helping people, is comfortable learning new technology, takes pride in staying organized, and thrives in a team-oriented healthcare environment.
Essential Responsibilities
Patient Experience
- Welcome patients and visitors with warmth and professionalism.
- Check patients in and out for appointments.
- Collect co-pays and process patient payments.
- Schedule and confirm appointments as directed.
- Maintain a clean, organized, and inviting reception area.
- Ensure patients feel comfortable and cared for throughout their visit.
Administrative Duties
- Enter and update patient demographic information accurately.
- Scan, organize, and digitally file patient records and paperwork.
- Create and maintain electronic folders and files on the office network.
- Process incoming and outgoing mail.
- Prepare and mail patient correspondence when needed.
- Forward documents and information to remote staff members as requested.
- Assist with general office organization and administrative projects.
Hearing Aid Support
- Perform basic hearing aid maintenance after training, including:
- Cleaning hearing aids
- Replacing receivers, domes, and wax filters
- Assisting patients with Bluetooth and telephone connections
- Maintain hearing aid supplies and workstations.
- Assist the Audiology Assistant with receiving, checking in, and organizing hearing aid inventory and accessories.
Team Support
- Assist the audiologist and Audiology Assistant with daily workflow.
- Help maintain efficient office operations.
- Complete additional duties as assigned to support patient care and practice needs.
Qualifications
- High school diploma or equivalent required.
- Previous customer service or medical office experience preferred.
- Excellent interpersonal and communication skills.
- Strong organizational skills and attention to detail.
- Comfortable using computers and learning new software.
- Ability to multitask in a fast-paced environment.
- Professional appearance and positive attitude.
- Ability to maintain confidentiality and handle sensitive information.
