Administrative Assistant needed to support the U.S Attorney's office Northern District of Mississippi


Job Duties:

  • Answering, screening, and routing phone calls and greeting and screening visitors.
  • Issues visitor badges, maintain sign-in logs, and ensure compliance with security
  • provisions are followed.
  • Processing, date stamping, sorting, and logging mail deliveries and copying projects.
  • Preparing and processing outgoing mail and light shipments.
  • Operating basic office equipment, e.g., photocopier, facsimile, multi-line
  • phone/voicemail systems, mailing machines, security keypad, and computer
  • programs.
  • Generates forms and documents from templates; data entry, file creation and
  • management, including purging of paper files and electronic media for destruction or
  • archiving.
  • Reserving conference rooms and government vehicles using the online calendars.
  • Ability to organize work and complete assignments consisting of numerous steps
  • varying in nature and sequence.
  • Opens cases strictly from the authorizations and then emails the ‘new case opened’
  • email, containing the new case file folder’s location and USAO #. (sent when the
  • case is opened.)
  • Responsible for entering civil and criminal case opening information into the USAO
  • case management system, CaseView. Includes opening new cases and appeal court
  • records, entering or closing cases and declinations.
  • Entering data requires fact checking and ensuring the data being entered is accurate. This involves: Cases requiring quality control review and review of material using online databases
  • Error Correction: Identify and correct any errors or inconsistencies in the data.
  • Maintaining Confidentiality: Adhered to strict privacy protocols to protect sensitive
  • information.
  • Documenting Work: Keeping logs or records of the data entry process and any changes made.
  • E-Filing of Court documents including familiarity with submitting documents
  • electronically via various systems and understanding how to navigate and upload portals is essential.
  • Case and Document management -familiarity with organizing digital files using cloud-based systems that aide with version control, sharing, and secure storage.


Requirements:

  • Must be a US citizen
  • Minimum of a high school diploma
  • At least 5 years administrative experience
  • Proficient in computer and all Microsoft Office products
  • Must have excellent written and verbal commination's, problem-solving, and conflict resolutions skills
