Job Description
The Opportunity: As a ROGERCO Event and Travel Coordinator, you will support the planning, logistics, and on-site execution of senior-level Army conferences for OCSA and HQDA G-3/5/7. Working under the Program Manager, you will coordinate participant travel, lodging, meals, and conference-related transportation, and serve as a dedicated member of the on-site event team. You will manage the day-to-day logistical details that keep each event compliant, cost-effective, and running smoothly, from registration and materials through meeting-space setup and post-event reporting.
Responsibilities:
- Coordinate, administer, and arrange payment for participant lodging, meals, and conference-related transportation at each conference site.
- Ensure lodging is booked at or below the per diem rate and that non-local attendees are accommodated.
- Apply JTR requirements and current GSA per diem lodging and M&IE rates to travel and cost planning.
- Track TDY versus local attendee status and handle each group in accordance with the PWS.
- Support venue research, comparisons, and cost estimate development, and help coordinate menus and room and seating diagrams.
- Conduct event registration, staff the admin and information table, and prepare and distribute nametags, table tents, and welcome folders.
- Establish and equip the operations and administrative room and support setup of general session rooms per the approved seating chart.
- Ensure meals and breaks are set up ahead of schedule, and that break areas are kept clean and refreshed.
- Support preparation of printed binders and coordination of AV and hybrid delivery services with vendors when ordered, in the unclassified environment only.
- Compile actual cost and attendee data for post-event reporting and contribute to the lessons-learned log and after-action review.
Requirements
Qualifications:
Required:
- Must possess or be able to obtain a SECRET security clearance.
- Associate's or Bachelor's degree and two or more years of experience in event coordination, travel logistics, or conference support.
- Experience coordinating lodging, meals, and transportation for groups.
- Experience with registration systems, attendee management, and materials preparation.
- Strong organizational skills and attention to detail across multiple concurrent events.
- Professional demeanor and responsive customer service with attendees and Government staff.
Desired:
- Experience supporting DoD, Army, or other Federal Government events.
- Familiarity with the JTR and GSA per diem lodging and M&IE rates.
- Working knowledge of AR 1-50 requirements.
- Experience supporting events in the National Capital Region.
- Proficiency with conference or registration software and standard office applications.
