Branded Parts Manager

Job Description:

The Parts Manager is responsible for overseeing all aspects of the parts department to ensure efficient operations, accurate inventory management, timely procurement of parts and materials, and exceptional support for internal service operations and external customers. This role controls inventory, manages warehouse and parts personnel, coordinates work-in-process parts procurement and distribution, maintains vendor relationships, develops parts pricing strategy, and manages communication for the parts department to internal and external customers.

Areas of Responsibilities and Duties:

  • Inventory Control

  • Manage daily operations of parts department and warehouse(s).

  • Source, procure and maintain inventory levels for parts inventory.

  • Analyze inventory turn rates and identify opportunities to improve inventory efficiency and reduce carrying costs.

  • Monitor stock levels and usage trends to maintain appropriate inventory levels while minimizing excess inventory and obsolescence.

  • Conduct and manage annual and cycle count inventory counts.

  • Create, implement and enforce inventory management policies that align with inventory management philosophy and the company’s internal accounting management direction.

  • Investigate and resolve inventory discrepancies and variances. Implement policies to reduce discrepancies and shortages.

  • Manage and ensure accurate receiving, labeling, stocking and inventory tracking procedures and policies.

  • Manage the return or refund of damaged, un-needed or overstocked parts.

  • Manage the process of customer returns to ensure proper inventory and accounting procedures are followed.

  • Establish and maintain relationships with vendors and suppliers to ensure competitive pricing, product quality, and timely delivery.

  • Negotiate pricing, freight terms, and vendor agreements when appropriate.

  • Review and approve purchase orders as required.

  • Provide strategic leadership and direction to regional service managers and service operations across all locations, ensuring alignment with company objectives and service standards.

  • Trailer Shop Operations Support

  • Coordinate the efficient procurement and distribution of work-in-process parts orders for active shop repair jobs.

  • Manage the prioritization of parts ordering and staging based on production schedules, technician needs and customer deadlines.

  • Work closely with Service Advisors, Shop Foremen, Technicians and Operations Management to ensure parts availability aligns with repair timelines.

  • Monitor open repair orders and proactively identify potential parts delays that may impact production.

  • Develop and implement processes for updating key personnel regarding status changes, shipping delays, backorders, an estimated arrival times for incoming parts orders.

  • Ensure work-in-process parts are accurately allocated, staged and distributed to technicians and repair bays.

  • Prioritize the minimization of technician downtime caused by parts shortages or delays.

  • Warehouse & Personnel Management

  • Supervise warehouse and parts department personnel, including scheduling, time management, training, performance and daily workflow coordination.

  • Establish and enforce warehouse organization, cleanliness, safety and operational procedures.

  • Develop processes that improve efficiency, accuracy and accountability within warehouse operations.

  • Ensure proper handling, storge, and security of inventory and customer-owned materials.

  • Monitor employee productivity and ensure completion of assigned duties.

  • Coordinate staffing levels to support operational demands.

  • Counter Sales & Order Fulfillment

  • Oversee parts sales operations for internal and external customers.

  • Manage order fulfillment and distribution processes for counter sales and customer pick-ups.

  • Develop and implement procedures to ensure accurate invoicing, pricing, and documentation for parts transactions.

  • Train personnel to provide professional customer service within parts department operations.

  • Resolve customer concerns regarding incorrect, damaged, delayed or unavailable parts orders.

  • Maintain efficient workflow for will-call orders, special orders and returns.

  • Parts Pricing Strategy & Profitablity

  • Develop and maintain strategic parts pricing structures to support company profitability and market competitiveness.

  • Monitor gross profit margins and adjust pricing strategies as necessary.

  • Analyze market pricing, vendor costs, freight expenses and competitive trends to establish appropriate markup structures.

  • Ensure consistent pricing practices across internal repair orders, counter sales, and external customer accounts.

  • Review pricing exceptions, discounts, credits, and warranty recoveries for accuracy and compliance with company policies.

  • Identify opportunities to improve profitability through vendor programs, purchasing efficiencies and inventory optimization.

  • Administrative and Reporting Responsibilities

  • Maintain accurate inventory and purchasing records within company systems.

  • Generate and review reports related to inventory usage, purchasing trends, fill rates, and department performance.

  • Monitor department expenses and assist in management of parts department budgets.

  • Ensure compliance with company policies and procedures, safety regulations, and operational procedures.

  • Participate in process improvement initiatives to increase operational efficiency and profitability.

Qualifications:

  • Business BA preferred

  • 5–10+ years in parts operations

  • Strong knowledge of trailer parts, heavy-duty equipment and repair shop operations preferred

  • 5-10+ years management experience

  • Proficient computer skills including inventory management systems and Microsoft office

  • Strong attention to detail and accuracy

  • Excellent communication skills

  • Strong organizational skills

  • Strong leadership and team management skills

  • Ability to drive performance and foster a positive work culture

Physical Requirements:

  • Ability to work in warehouse and shop environments

  • Ability to lift and move parts and materials as needed

  • Frequent standing, walking, bending, and reaching

  • Ability to operate forklifts and warehouse equipment as necessary
