About the Role:

The Front Desk Coordinator plays a critical role as the first point of contact for patients and visitors within a healthcare setting, ensuring a welcoming and efficient experience. This position is responsible for managing patient appointments, handling inquiries, and maintaining accurate patient records to support smooth clinical operations. The role requires effective communication and organizational skills to coordinate between patients, healthcare providers, and administrative staff. By managing front desk activities, the Front Desk Coordinator contributes to the overall patient satisfaction and operational efficiency of the healthcare facility. Ultimately, this position supports the delivery of high-quality healthcare services by facilitating seamless administrative processes.

Primary Responsibilities

  • Greet and check in patients while ensuring all required documentation is completed.
  • Verify and update patient demographics, insurance information, and identification.
  • Collect copays, balances, and other payments at the time of service.
  • Answer incoming calls, schedule appointments, relay messages, and assist patients with inquiries.
  • Maintain and organize patient records and documentation in compliance with HIPAA regulations.
  • Reconcile daily payments and assist with administrative duties as assigned.
  • Support management with special projects and operational needs.

Minimum Qualifications

  • High School Diploma or GED required.
  • Minimum 2 years of medical office experience required.
  • Experience with Electronic Health Records (EHR);
  • Strong customer service and interpersonal skills.
  • Excellent computer and data entry skills.

Preferred Qualifications:

  • Previous experience in both patient registration and appointment scheduling preferred.
  • Experience with insurance verification and billing processes.
  • Familiarity with HIPAA regulations and patient confidentiality standards.
  • Additional training in customer service or office management.
