About This Role

Montessori School of Charlottesville is seeking a dedicated, organized, and responsible candidate to join our team full-time as an Administrative Assistant/Afternoon Program Coordinator. This person would serve in an administrative assistant/floater capacity during our morning program and transition to supporting staff as the Afternoon Program Coordinator in our extended day program.


An ideal candidate will love working with young children, possess strong written and verbal communication skills, have strong organizational skills and basic technological/ office skills (Google drive, electronic file management, email communication, etc). They would fill an important role in ensuring the smooth running of our school while also fostering welcoming community relationships and a positive early childhood environment. Intended hours are M-F 8:30-5:30 with a 1 hour break. Flexibility and ability to follow through with instructions is essential for this role.



What You'll Do

Key Responsibilities include:

  • Day-to-day administrative tasks, such as answering phone calls and emails, filing, data entry, and photocopying.
  • Management of staff and student files and documents according to licensing and confidentiality standards
  • Prepare drop-in and late pick-up billing for School Accountant
  • Support inventory of supplies and communicate ordering needs to Administrative Director
  • Facilitate communication between caregivers, administration, and staff
  • Maintain a welcoming atmosphere for families and visitors
  • Support staff and children in classroom and on playground as needed, especially to facilitate proper running of our late afternoon program
  • Complete additional tasks under the direction of Administrative Director and Program Director


Requirements

Requirements include:

  • Experience in an administrative role, preferably in an educational setting
  • Strong abilities in organization, multi-tasking, and time management
  • Strong written and spoken communication skills
  • Love of children and willingness to be flexible to meet school needs as well as willingness to learn and adopt Montessori practice


Benefits

  • Starting salary $18.50-20/hour dependent on experience; benefits include paid school holidays and additional PTO, health benefits for those working over 25 hours/week, IRA contribution after 2 years employment
