We are seeking a detail-oriented Payroll Specialist to help ensure every employee is paid accurately and on time—while providing responsive, friendly support across the organization.

This is a Hybrid position with Tuesday, Wednesday and Thursday in the office and Monday and Friday remote. Shift available is 8am-5pm.

What You’ll Do

As a Payroll Specialist, you will manage essential payroll operations and serve as a trusted resource for employees, accounting teams, and business units. Your responsibilities will include:

  • Process bi-weekly payroll accurately and on schedule using time and pay reporting systems.

  • Maintain payroll records, reports, reconciliations, and audit documentation.

  • Review, audit, balance, and validate payroll prior to transmission, ensuring time entries, deductions, earnings, and taxes are correct.

  • Review computed wages, investigate discrepancies, and make necessary corrections.

  • Ensure timesheets are submitted in accordance with company policy, contracts, state requirements, and regulatory standards.

  • Review payroll taxes and verify accuracy by applicable state and city.

  • Process garnishments and ensure timely withholding and payment.

  • Ensure legally required taxes are properly set up, withheld, paid, and reconciled.

  • Prepare month-end payroll reports in accordance with close deadlines.

  • Support payroll processing for multiple divisions, including during periods of staffing shortages or organizational growth.

  • Troubleshoot payroll issues across multiple business units.

  • Partner with internal and external auditors to support compliance with tax laws and government regulations.

  • Provide timely, professional customer service to employees with payroll questions or concerns.

  • Protect confidential employee and company information.

  • Maintain positive working relationships with coworkers, accounting teams, and business units.

  • Complete special projects and other duties as assigned by the Payroll Manager.

What You Bring
  • Associate degree, or an equivalent combination of education and relevant work experience.

  • One to three years of payroll experience.

  • Proficiency in Microsoft Excel.

  • Strong analytical and problem-solving skills, with the ability to identify issues and implement effective solutions.

  • Comfort communicating and collaborating with personnel at all levels of the organization.

  • A commitment to confidentiality, accuracy, and exceptional customer service.

  • Ability to promote and support a culture of continuous improvement.

  • Knowledge of multi-state taxation is preferred.

  • Experience with the ADP payroll reporting system is preferred.
