About the Role:

The Administrative Assistant in the construction industry plays a pivotal role in ensuring the smooth and efficient operation of the office environment. This position is responsible for managing a variety of administrative tasks that support project teams, management, and other staff members. The successful candidate will coordinate schedules, handle communications, and maintain accurate records to facilitate seamless workflow and project execution. By managing calendars, travel arrangements, and multi-line phone systems, the Administrative Assistant helps optimize time management and resource allocation. Ultimately, this role contributes to the overall productivity and organizational success within a dynamic construction setting.

Minimum Qualifications:

  • High school diploma or equivalent required; Associate’s degree or higher preferred.
  • Proven experience in an administrative or clerical role, preferably within the construction or related industry.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and calendar management tools.
  • Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously.
  • Excellent verbal and written communication skills.

Preferred Qualifications:

  • Experience with construction industry software or project management tools.
  • Familiarity with records management systems and document control procedures.
  • Ability to handle confidential information with discretion and professionalism.
  • Prior experience managing multi-line phone systems in a busy office environment.
  • Additional training or certification in office administration or project coordination.

Responsibilities:

  • Manage and maintain calendars for Company President, scheduling meetings and appointments efficiently.
  • Coordinate travel arrangements including booking flights, accommodations, and transportation for staff and executives.
  • Handle multi-line phone systems, directing calls appropriately and managing voicemail messages.
  • Perform general clerical duties such as filing, photocopying, scanning, and managing correspondence.
  • Maintain accurate records and documentation related to projects, contracts, and office operations.
  • Provide backup support for other administrative functions as needed to ensure continuity of office operations.
  • Assist in preparing reports, presentations, and other documents to support project teams and management.
  • Serve as a point of contact for internal and external communications, ensuring professionalism and timely responses.

Skills:

The required skills such as calendar management and travel arrangements are essential for organizing the daily schedules and logistics of construction teams, ensuring that meetings and site visits occur without conflict. General administrative and clerical skills are applied to maintain orderly records and support documentation, which is critical for compliance and project tracking.
