Position Summary

Tampa Family Health Centers is seeking a Front Desk Coordinator to support front office operations at assigned clinic locations.

The Front Desk Coordinator is responsible for greeting patients and completing patient registration at the point of service. This role interviews patients and validates protected health information (PHI) both in person and by phone, coordinates appointments, and supports efficient clinic and provider scheduling.

As the first point of contact, the Front Desk Coordinator plays a critical role in creating a positive, professional, and welcoming patient experience.


Essential Duties & Responsibilities
  • Greet patients in a professional and courteous manner while providing exceptional customer service.
  • Register new patients according to established protocols and assist with forms and documentation.
  • Communicate Tampa Family Health Centers policies and procedures to patients.
  • Schedule, reschedule, and confirm patient appointments and recalls.
  • Obtain proof of insurance and accurately scan documentation into the electronic health record.
  • Verify and update patient demographic and insurance information.
  • Answer and manage incoming telephone calls and route messages appropriately.
  • Collect and accurately document patient payments.
  • Notify the answering service when the clinic is online or offline and forward messages to the appropriate staff.
  • Maintain appointment logs and support daily front office operations.
  • Follow all TFHC policies, accreditation standards, HIPAA requirements, and applicable regulations.
  • Build positive relationships with patients, visitors, and fellow team members.
  • Support the mission, vision, and values of Tampa Family Health Centers.

Required Qualifications
  • High school diploma or equivalent.
  • Minimum of one (1) year of customer service experience.
  • Ability to navigate and enter information into an electronic health record.
  • Proficiency with Microsoft Word, Excel, and Outlook.
  • Strong verbal and written communication skills.
  • Excellent customer service and interpersonal skills.
  • Bilingual (Spanish/English) preferred.

Public Service Loan Forgiveness

As a nonprofit healthcare organization, employment with Tampa Family Health Centers may help support eligibility for the Public Service Loan Forgiveness (PSLF) Program for employees with qualifying federal student loans.

Please note that employee's initial training schedule may differ from the regular schedule of the position. All new hires, including part-time employees, must be available for up to 40 hours of in-person, on-site training during their first week. Additional Mandatory training may continue for approximately two to three weeks, depending on the position and training requirements. Training may take place at a TFHC location other than the employees assigned work location.
