Accounting Specialist
Musca Law, P.A. isseekinga highly organized and detail-orientedAccounting Specialistto support the daily financial operations of our growing law firm. This positionis responsible foraccounts payable, accounts receivable support, payrollassistance, account reconciliations, financial recordkeeping, vendor management, and administrative accounting functions.
Essential Duties and Responsibilities
Accounts Payable
- Receive, review, and process vendor invoices.
- Verify proper approvals and coding before payment.
- Prepare and process vendor payments via check, ACH, or approved payment methods.
- Reconcile vendor statements and resolve discrepancies.
- Maintain vendor records, W-9s, and payment documentation.
Accounts Receivable Support
- Assistwith posting payments andmaintainingaccurateclient account records.
- Monitor outstanding balances andassistwithcollectionsfollow-up.
- Research and resolve billing discrepancies.
- Support daily cash reporting and payment tracking.
Accounting & Financial Operations
- Perform bank, credit card, and general ledger reconciliations.
- Assistwith month-end and year-end closing activities.
- Maintain organized accounting records and supporting documentation.
- Support preparation of reports for management and external professionals.
- Assistwith audits, compliance reviews, and regulatory reporting.
Administrative Support
- Support the Director of Accounting and Law Firm Administration with special projects.
- Track and organize financial and operational documentation.
- Maintain filing systems and accounting records.
- Coordinate with attorneys, staff, vendors, and external service providers as needed.
Qualifications
Required
- Minimum 2 years of accounting, accounts payable, accounts receivable, bookkeeping, or related experience.
- Strongproficiencyin Microsoft Excel, Microsoft Office and QuickBooks
- Understanding ofbasic accounting principles and financial processes.
- Excellent organizational and time-management skills.
- High attention to detail and accuracy.
Preferred
- Experience in a law firm or professional services environment.
- Experience with QuickBooks, accounting software, or practice management systems.
- Bilingual (English/Spanish) a plus.
