Position Title: Patient Service Representative (Front Desk / Check-Out)
Department: Patient Services
Reports To: Office Manager / Practice Administrator
Position Summary
The Patient Service Representative serves as the primary point of contact for patients and visitors and is responsible for managing front desk operations including patient check-in, scheduling, insurance verification, and check-out processes. This role must provide excellent customer service and communicate effectively with patients in both English and Spanish.
All duties must be performed in accordance with HIPAA regulations and healthcare privacy standards. All responsibilities are shared amongst a team. This is a team environment, and the expectation is for everyone to be able assist in all roles.
Key Responsibilities
Front Desk Operations
- Greet patients and visitors professionally.
- Manage patient check-in and check-out processes.
- Schedule, reschedule, and confirm patient appointments.
- Verify insurance eligibility and demographic information.
- Team player that is excited to share responsibilities with front and back-office team.
Financial Responsibilities
- Collect copayments, outstanding balances, and payments.
- Provide receipts and documentation for patient transactions.
- Assist with billing inquiries when appropriate.
Administrative Duties
- Maintain accurate patient records in the EMR system.
- Scan and upload patient documents.
- Coordinate referrals and authorizations.
Patient Experience
- Provide exceptional customer service to patients and visitors.
- Communicate effectively with patients in English and Spanish.
- Assist patients with questions regarding appointments and services.
Qualifications
Education
- High school diploma or GED required
Experience
- 1–3 years of experience in a medical office, hospital, or healthcare setting preferred
Required Skills
- Fluent in English and Spanish
- Strong knowledge of insurance verification and patient scheduling
- Familiarity with electronic medical records (EMR)
- Excellent communication and organizational skills
- Ability to multitask in a fast-paced healthcare environment
