Job Summary:
This position is responsible for all functions related to the accurate and timely processing of SSG's payroll in a multi-state environment. Success in this role requires experience with third-party payroll software, exceptional attention to detail, strong critical thinking skills, and a passion for process improvement. Because this position handles highly confidential employee information, the ideal candidate must demonstrate the highest level of integrity and discretion.
Duties/Responsibilities:
- Process bi-weekly payroll, including salaries, bonuses, commissions, benefits, taxes, and other deductions while ensuring compliance with all federal, state, and local regulations.
- Serve as the primary point of contact for employee payroll matters, answering questions, and providing guidance on payroll policies and procedures.
- Maintain and administer the company's third-party payroll system in partnership with Human Resources, ensuring updates are completed to maintain compliance and support HR best practices.
- Configure and maintain payroll mapping for personnel expenses and payroll liabilities to the general ledger.
- Reconcile payroll-related expenses and liability accounts to the general ledger on a bi-weekly basis.
- Prepare monthly payroll accruals for financial reporting.
- Generate weekly, monthly, quarterly, and year-end payroll reports, including earnings, taxes, deductions, leave balances, disability, and non-taxable wages.
- Partner with third-party payroll providers to ensure accurate and timely payroll processing, tax filings, reporting, and settlements.
- Collaborate with internal departments and payroll providers to resolve issues and identify opportunities for process improvements.
- Manage year-end payroll activities, including W-2 preparation and year-end adjustments.
- Stay current on federal, state, and local payroll laws and regulations, ensuring ongoing compliance and advising management on required changes.
- Partner with Sales, Human Resources, Finance, and other departments to ensure payroll consistency and accuracy.
- Maintain strict confidentiality of employee payroll and compensation information.
- Support management with special projects, reporting, and payroll analysis as needed.
- Assist with internal and external audits related to payroll.
- Perform other accounting responsibilities as assigned, including posting health insurance and other payroll-related benefit expenses.
- Requires an average of 30 hours of dedicated work per week to meet the essential functions of the role.
Required Skills/Abilities:
- Exceptional attention to detail and accuracy.
- Strong analytical, critical thinking, and problem-solving skills.
- Ability to handle highly confidential information with professionalism and discretion.
- Advanced Microsoft Excel skills, including data analysis and reporting.
- Excellent time management skills with the ability to prioritize multiple deadlines.
- Thorough understanding of federal, state, local, and FICA payroll tax laws and regulations.
- Strong communication and organizational skills are important.
Education and Experience:
- Minimum of3 years of full-cycle payroll processing experience.
- Experience processing multi-state payroll.
- Advanced proficiency in Microsoft Excel.
- Experience with ADP payroll software is preferred.
