Working Hours: M-F 7:30am until 4:30pm - 1 hr. Lunch

Pay Rate: $25.00/hr.

Construction Administrative Assistant

We are seeking a highly organized and motivated Construction Administrative Assistant to join our growing team. This position is ideal for someone who thrives in a fast-paced environment, can adapt to changing priorities, and takes pride in providing exceptional customer service.

As the first point of contact for clients, vendors, and business partners, you will play a key role in maintaining our reputation for professionalism and responsiveness while supporting daily office operations, assisting sales, production, and accounting teams. The ideal candidate is detail-oriented, dependable, and enjoys working collaboratively in a team-focused environment.

Responsibilities
  • Answer and direct incoming phone calls professionally and courteously
  • Draft, respond to, and manage customer and vendor correspondence
  • Perform accurate data entry and maintain insurance documentation
  • Assist with invoicing, payment processing, and basic bookkeeping functions
  • Organize and maintain electronic and paper filing systems
  • Assist with permitting applications and project documentation
  • Manage online work order platforms for national clients
  • Support management with a variety of administrative and clerical tasks
  • Coordinate and maintain office records and project files
  • Participate in company-sponsored networking events and team activities as needed
  • Foster a positive, collaborative, and professional office environment
Qualifications
  • Minimum of 2 years of administrative experience, preferably within the construction industry or a customer service environment
  • Strong computer proficiency with accurate data entry skills
  • Excellent written and verbal communication skills
  • Strong organizational and time management abilities
  • Ability to prioritize multiple tasks in a fast-paced environment
  • Exceptional attention to detail
  • Reliable, punctual, and self-motivated
Preferred Qualifications
  • Bilingual in English and Spanish
  • Experience with QuickBooks Enterprise
  • Knowledge of construction administration, including permitting, insurance certificates, and lien waivers
  • Previous experience supporting construction, contracting, or property services companies
