Working Hours: M-F 7:30am until 4:30pm - 1 hr. Lunch
Pay Rate: $25.00/hr.
Construction Administrative Assistant
We are seeking a highly organized and motivated Construction Administrative Assistant to join our growing team. This position is ideal for someone who thrives in a fast-paced environment, can adapt to changing priorities, and takes pride in providing exceptional customer service.

As the first point of contact for clients, vendors, and business partners, you will play a key role in maintaining our reputation for professionalism and responsiveness while supporting daily office operations, assisting sales, production, and accounting teams. The ideal candidate is detail-oriented, dependable, and enjoys working collaboratively in a team-focused environment.
Responsibilities
- Answer and direct incoming phone calls professionally and courteously
- Draft, respond to, and manage customer and vendor correspondence
- Perform accurate data entry and maintain insurance documentation
- Assist with invoicing, payment processing, and basic bookkeeping functions
- Organize and maintain electronic and paper filing systems
- Assist with permitting applications and project documentation
- Manage online work order platforms for national clients
- Support management with a variety of administrative and clerical tasks
- Coordinate and maintain office records and project files
- Participate in company-sponsored networking events and team activities as needed
- Foster a positive, collaborative, and professional office environment
Qualifications
- Minimum of 2 years of administrative experience, preferably within the construction industry or a customer service environment
- Strong computer proficiency with accurate data entry skills
- Excellent written and verbal communication skills
- Strong organizational and time management abilities
- Ability to prioritize multiple tasks in a fast-paced environment
- Exceptional attention to detail
- Reliable, punctual, and self-motivated
Preferred Qualifications
- Bilingual in English and Spanish
- Experience with QuickBooks Enterprise
- Knowledge of construction administration, including permitting, insurance certificates, and lien waivers
- Previous experience supporting construction, contracting, or property services companies
