We are looking for a Property Administrator to support a large commercial lease portfolio in Oakland, California. This contract position with the potential to become permanent is ideal for someone who can balance detailed administrative work with landlord communication, lease coordination, and property-related follow-up in a fast-moving environment. The role begins fully onsite to build strong working relationships and operational knowledge, with a hybrid schedule available after the initial training period. You will join a collaborative team that manages high-volume real estate activity and relies on strong organization, professionalism, and follow-through.
Responsibilities:
• Oversee lease-related activities across a busy commercial property portfolio, including renewals, new agreements, amendments, and closeouts.
• Work directly with landlords to discuss business terms, resolve lease concerns, and support favorable outcomes for the organization.
• Partner with internal stakeholders on prospective site opportunities by assisting with documentation, coordination, and real estate follow-through.
• Communicate with local government offices to help move permits, approvals, and compliance-related items through the proper channels.
• Track and address day-to-day property matters by coordinating updates, gathering information, and helping drive timely resolution.
• Maintain accurate lease files and portfolio data within database platforms and internal tracking tools.
• Prepare, organize, and route real estate documents to ensure records are complete, current, and accessible.
• Support onboarding into team processes and systems while contributing to overall portfolio administration and special projects as needed.• At least 2 years of experience in commercial real estate, property administration, lease coordination, property management, contracts, or a related field.
• Familiarity with commercial leasing activities such as renewals, amendments, landlord communication, or site documentation.
• Strong organizational skills with the ability to manage multiple priorities and remain effective in a high-volume setting.
• Clear written and verbal communication skills, with confidence handling outreach, negotiation, and challenging conversations.
• Ability to learn new systems quickly and maintain accurate records across lease management and administrative platforms.
• Detail-oriented and team-oriented, with the ability to work onsite and collaborate closely with colleagues and leadership.
• Proficiency with Microsoft Office and experience using tools such as Asana, Yardi, or similar property and lease management systems.
